1. Who we are
SYROS International FZE LLC ("SYROS", "we", "us") is a marine lubricant supplier registered in the United Arab Emirates, with its registered office at BC-888813, 26th Floor, Amber Gem Tower, Sheikh Khalifa Street, Ajman, United Arab Emirates. We are the data controller for the personal information described in this policy.
2. Information we collect
We collect only the information needed to quote, coordinate and document lubricant supply to vessels:
- Enquiry details — vessel name, IMO number, port, ETA, grades, quantities and pack formats you send through our enquiry form, by email or by WhatsApp.
- Contact details — your name, company, role, email address and telephone number.
- Commercial records — quotations, nominations, delivery notes, invoices and related correspondence generated in the course of business.
- Technical website data — our hosting provider may log standard server data such as IP address, browser type and pages visited for security and performance purposes.
Our enquiry form opens your own email client; nothing is transmitted to us until you choose to send the email. We do not knowingly collect information from anyone under 18, and our services are directed at businesses.
3. How we use your information
- To respond to enquiries and prepare quotations.
- To coordinate deliveries with ports, agents, barges and transport providers.
- To issue and retain delivery, quality and financial documentation.
- To maintain our commercial relationship, including follow-up on active vessel calls.
- To comply with legal, tax, customs and trade-compliance obligations in the UAE and in the jurisdictions where deliveries take place.
We do not sell personal information, and we do not use it for third-party advertising.
4. Legal basis
We process personal information under UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data and, where applicable to clients in other jurisdictions, on the basis of contract performance, legitimate business interest and legal obligation.
5. Who we share information with
To deliver lubricants to a vessel, relevant details (vessel name, port, ETA, delivery point, ordered grades) are shared with the parties needed to complete the supply: port agents, terminal and port authorities, barge and truck operators, blending plants or product suppliers, and freight or customs handlers. We share only what each party needs for the delivery in question. We may also share information where required by law, regulation or court order.
6. WhatsApp and email communications
We use email and WhatsApp (operated by Meta Platforms) for enquiries and delivery coordination. Messages sent over WhatsApp are subject to WhatsApp's own terms and privacy policy. If you prefer not to use WhatsApp, all business can be conducted by email at lubes@syros.ae.
7. Data retention
Commercial and delivery records are retained for as long as required by UAE commercial, tax and maritime documentation requirements, typically a minimum of five years from the end of the relevant financial year. Enquiries that do not lead to business are deleted or anonymised within a reasonable period.
8. Data security
We limit access to personal information to personnel who need it for quotation, delivery and accounting purposes, and we use commercially reasonable technical and organisational safeguards, including access-controlled mailboxes and systems, to protect it.
9. Your rights
Subject to applicable law, you may request access to, correction of, or deletion of your personal information, object to certain processing, or withdraw consent where processing is based on consent. To exercise these rights, contact us using the details below. We will respond within a reasonable timeframe and in accordance with applicable law.
10. International transfers
Because vessel supply is international by nature, information may be transferred to and processed in countries where deliveries take place or where our service providers operate. Where required, we apply appropriate safeguards for such transfers.
11. Cookies and analytics
Our website is informational and does not require an account. If we use analytics or similar tools in future, this policy will be updated and any required consent mechanisms added before they are activated.
12. Changes to this policy
We may update this policy from time to time. The effective date at the top of the page shows when it was last revised. Material changes will be posted on this page.
